Get started in an existing account

When you join an existing monday.com account, there may already be active boards, workflows, and processes in place. This article covers the basics to help you get oriented: setting up your profile, joining the right workspaces and boards, and learning how to navigate your team’s existing structure.

 

Make your profile visible

Click your profile picture in the top-right corner and select My profile. Here, upload a profile picture, edit your details, and manage your login information.

Tip: A profile picture helps teammates recognize your contributions in boards, Updates, and notifications.

 

Join the right workspaces

When you join an account, you will automatically land in the Main workspace. This default workspace includes all team members and is used for company-wide collaboration.

From there, you can join other open workspaces to see information that’s relevant to your department, team, or projects. Open the left pane, select a workspace, and click Join workspace:

Tip: Start with the Main workspace, then join only the workspaces that match your role to keep your view focused.

 

Join boards and understand their structure

Boards are where the work itself happens. They are made up of items, organized into groups, and tracked with columns.

You can subscribe to any main board in a workspace. For private or shareable boards, you will need an invite from a board owner.

Add important boards to your Favorites so they’re always at the top of your left panel for quick access. Click the star icon next to a board’s name to favorite it.

Tip: Subscribe only to boards that relate to your daily work to keep your view uncluttered. If you are not sure what a board is used for, monday sidekick can help you understand what the board tracks based on its structure and content.

 

Manage your notifications

Notifications keep you updated without having to check every board:

The Update Feed (Inbox) shows every update from boards you subscribe to:

Bell icon notifications highlight items where you were tagged or assigned:

Email notifications send alerts directly to your inbox (you can adjust these in your profile).

Tip: Adjust your settings early. You want enough updates to stay aligned but not so many that they distract you.

 

See what is assigned to you

On any board, use the filter to show only the items assigned to you as so:

Across the account, My Work collects all of your tasks in one place so you can start each day with a clear view.

Communicate with your team

Every item has an Updates section for sharing progress, asking questions, or @mentioning teammates. This keeps communication tied to the work itself.

Tip: Keeping conversations in Updates instead of email makes information visible to everyone who needs it.

 

Track progress with dashboards

Dashboards bring information from multiple boards into one view. They help you track timelines, measure outcomes, and compare projects at a high level.

Add widgets such as NumbersChart, or Timeline to visualize progress. You can always add more widgets later as your needs grow.

Tip: Dashboards are especially useful for managers who need to monitor team workload and results without having to check each board separately.

 

Save time with templates

If you need to create new boards, the Template Center has ready-made setups for sales, project management, content production, and more. Templates can be customized later, but they give you a structured starting point so you don’t have to build from scratch.

Reduce manual work

Once you are comfortable with the basics, explore:

Automations: create rules that handle repetitive steps, such as moving an item when the status changes.

Integrations: connect monday.com with tools like GmailOutlook, or Salesforce to keep work flowing across platforms.

Tip: Automations and integrations are optional at first, but they can save significant time once you know your workflows.

 

Collaborate on ideas

With monday workdocs, your team can brainstorm, capture notes, and turn ideas into action, all linked to your boards.
