Integrate workdocs into your workflow

Looking for additional ways to enhance your workflow and productivity on monday.com? Well, look no further! 🔍

workdocs is a central place for you and your team to collaborate, brainstorm, and execute your work. This feature is an essential collaboration tool that seamlessly integrates with your boards, dashboards, automation, and integrations.

Create items in boards

What better way is there to connect workdocs to your workflow than to turn your text into items on any board as you type?
Convert text from your workdoc into board items by highlighting the text and clicking "+ item" in the toolbar. Choose the board and group you'd like your item to be created in. You'll see a confirmation message at the top of your screen letting you know that your item has been successfully added to the board you've selected.

You can edit board items created from your workdoc without leaving the workdoc itself. No more toggling back and forth between your workdoc and board to make changes — click on the created item within your workdoc, and the item's pop-up view will appear.

Any changes made will automatically appear on the associated board.

Tip: You can also turn a bulleted list of text into separate items on your board. Highlight the list, and each separate numbered or bullet-point text item will become a separate item on your selected board.

Mention boards in docs

Being able to mention specific boards within your workdoc is a great way to reference a specific board and allows for easy access to that board. To mention a board within your doc, type "/" followed by "boards". From the menu options that appear, select "Mention boards" and select the board you would like to mention from the list of available boards.

By clicking on the mentioned board, you will be redirected to that board for easy access, which supports productivity!

Doc board view

You can create a workdoc directly within your board views! This way, the doc is readily available to you when you're working with that board. To add a doc board view, click on the "+" icon next to the main table tab, and select "Doc" from the dropdown list. A new doc will be created for you as a board view, and you can begin customizing!

Dynamic values

Do you have a doc with information that changes based on a connected item in your board? Or are you creating a doc from scratch and want to link multiple items from different boards to a single document? The dynamic values feature allows you to incorporate them seamlessly and keep them in perfect sync.

To pull column values in real time directly from the item to the doc, type a "{" into the location within your text that you'd like to add a dynamic column value, and "/" for the current time and today's date.

You can also access Dynamic values via the menu at the top of your workdoc.

If you choose "Column value," you'll open a new menu with a selection of available boards to connect to. Once you've chosen a board, you can select the item's name and other columns from your board to input as the dynamic text.

Tip: This feature supports a variety of columns and is excellent for generating invoices, keeping project overviews updated automatically, release notes for Product Managers, and so much more!

And voila! The dynamic fields you chose will be automatically updated according to their values in the board. If you set dynamic text on a template, each individual doc will fill in the values in real time according to its connected item.

Note: If your doc is already connected to a specific board, as in the case of a Doc Column, once you've selected "Column value", you will be taken directly to a column selection for that specific board.

Embed a board or workdoc

Need to reference a board or additional workdoc in your text? Embed a board or existing doc directly into your workdoc as a widget so that your content and data stay up-to-date and aligned at all times!

  • Embed a board

Click "Add", "More options", and then choose "Board" from the "Productivity" tab of the menu on the right-hand menu pane. Now, simply select your desired board and get to work.

The board is fully functioning, allowing you to view and update everything right from within your workdoc. You can also view the board in full screen, rename, or filter the widget.

  • Embed a doc

You can add a doc inline with your text to easily access and reference that doc. Simply type "/doc", click "mention doc", and select a doc from the list. By clicking on the embedded doc you can easily access the workdoc in a new browser tab.

Apps for workdoc integrations

The monday apps marketplace is a great place to find apps that can be integrated into your workdoc to boost your productivity and streamline your team's workflow.

To access the available apps from within your workdoc, highlight text on your workdoc and click on the "puzzle piece" icon from the menu bar that appears. From here, select "Explore apps". A page will open with all the available apps within the marketplace.

Automate your workdocs

Using the workflow builder, you can add content to your workdoc automatically when a board item is triggered, or create a brand new workdoc based on a trigger! To access workflows, open the workspace where you plan to implement your workflow, click on the blue plus sign button, and click on Workflow from the menu.

Note: The workflow builder is only available for Enterprise plans.

  • Adding content automatically

You can set up a workflow to add content to your workdoc automatically. Once inside the workflow builder, use the search bar to locate the trigger for your first block. After configuring your initial block, click the "+" icon to add a new one. Selecting an action block will enable you to guide your workflow from the previous step to the next action. From the search bar, type in docs and select "Add content to doc".

You can then map out the automation from the right-hand panel that appears. Choose the Workspace and workdoc within that workspace to which you would like to add the content. Choose which columns you would like to pull content from under the "Content block" section.

When the item is triggered, the information will be added directly to your workdoc! For example, our workflow is triggered when the Project Phase Status is changed to "Done," and the information in the content blocks we chose in the builder will then appear as text on our workdoc!

  • Create a workdoc automatically

Another option within the workflow builder is to trigger the automatic creation of a workdoc from scratch! Once you have configured your initial block, click on the "+" icon and choose an action block. From the search bar, type in docs and select "Create doc".

You will then be prompted to map out the type, name, and privacy setting of your new workdoc and to select which workspace to add it to.

When the item is triggered, a new workdoc will be created for you! For example, our workflow is triggered when the Project Phase Status changes to "Working on it," resulting in a new doc, titled with the item name, being added to our workspace.
