How to manage files in monday.com

With monday.com, managing your files has never been easier! Upload your files, share them with your teammates and collaborate on them together to improve your workflows! 🙌

Uploading files to monday.com

There are four ways you can upload files and documents in monday.com: 

  • The Updates section
  • The Status box
  • The Files Column
  • The Files tab

Let's go over each one of them!

 

Note:  Unlike other integrations, you do not need to set up Google Drive, Dropbox, Box.com, or OneDrive in the Integration Center.

 

1. Updates section

Click on the "speech bubble" icon on any item to view the Updates Section. Next, click on "Add files" in the lower left corner below the Updates box and select the file you would like to upload from your computer, Google Drive, Dropbox, Box, OneDrive, or SharePoint.

Note: If you're having trouble connecting your Google Drive account, try clearing your cache and allowing third-party cookies. Google Drive isn't supported in the Edge Browser. Team Drive is not yet supported at all.  

 

If you made a mistake and would like to delete and/or edit the post, select the arrow on the right of the update and select "Edit update" or "Delete update for everyone," depending on your preferences.

Note: Your updates and files will continue to move down your page as you add new ones to your feed. If you would like to keep some updates always at the top, you can pin your update. Check out this article for more information! 

 

2. Status box

If you'd like to add an attachment to a Status box on the board, click the "+" sign in the upper right corner of any Status label. Next, click on "Add files" in the lower left corner, and a drop-down menu will appear for you to upload a file:

Tip: If you hover over the associated status label, you can see the files added to the Status box at a glance! 

 

3. The Files Column

The Files Column allows you to add files to your board in a column dedicated entirely to files. Simply click inside the column cell and choose how to add your file.

Once your files are added, they will look like little icons within the column. Hovering over a file will show you a preview of it!

4. Files tab

The Files tab allows you to view all of an item's files (from both the File Column and/or the Updates Section) in one easy-to-use gallery display. To view the Files tab, click on an item to open up its Updates Section and select "Files" tab from the list of tabs at the top. From the Files tab, you'll be able to add a new file by clicking on "Add file" on the top left.

Collaborate and communicate on files

You can make comments and communicate on any files with the help of the annotation feature! Open your files from the Files View, Files Column, or the Files tab. From there, you’ll be able to see comments previously added by your team members and add your own, without needing to leave your board!

See all your files in one place

The Files tab allows you to view and access all the files stored in a single item, or you can view all the files from your board using the Files Gallery View

Access the Files tab by clicking on an item and selecting the "Files" tab next to the Updates section. Easily scroll through and manage all of an item's files in one gallery-like view:

Alternatively, use the Files Gallery View! This view allows you to see all the files from your board in a consolidated, gallery-like view or as a widget within a Dashboard! 📋

Download Files

If you have multiple files uploaded to one item in the Files Column, you can download them all at once in a zip file! When you click on any file from the Files Column or the Files Gallery View, you can click on the download icon. From there, you can either click "Download file" to download the single file that you are viewing or "Download all as zip" to download all the files in the item into one zip file.

File permissions

Currently, anyone who has access to your board will be able to download and edit files. If you would like your files to remain restricted, you can add them to the Files Column. Once added, you can set up board permissions allowing only the owners of the boards to edit the board. Check out this article to learn more about it!

 

Link Previews

The account's admins can now enable or disable link previews in the Updates section. This article explains how to do it. 

 

Limitations

500MB is the maximum file size for each item. If you're finding that files you'd like to upload are bigger than that, you can create a zip file and upload that instead, or upload from Google Drive, Dropbox, Box, or OneDrive. We currently do not support HTML files. The best way to handle this would be to zip it and then upload it.

 

Tip: If you plan on making a lot of edits to your file, you may want to consider copying and pasting a link from either Dropbox, Google Drive, Box, or OneDrive so you won't have to continuously re-upload the latest version of your document.
